Auction and clearing sale software

Questions and answers

Short answers on offline, invoicing, printing and cost.

Offline

Does SoldTo work with no internet?
Yes. The sale itself runs with no internet. The SoldTo server runs on your network, and the lots app on a phone or tablet keeps its own database, so clerks can record sales with no connection. Emailing invoices uses the internet, so you send them from the office.
How does syncing work?
When a device is in range of the SoldTo server, the clerk presses Sync. The day’s sales go up, and the latest vendors, lots and bidders come down. Until then, everything stays saved on the device.
What happens if two people edit the same lot?
The second change goes to a sync conflicts page in the back office, where office staff choose which version to keep. Nothing is overwritten without a decision.

Invoices and money

Does SoldTo handle GST?
Yes. GST is 10%, set per lot, and invoices are headed Tax Invoice with your ABN. Where a lot carries buyer’s premium, GST is worked out on the price and premium together.
How are payments handled?
Staff record the payments taken on the day: cash, cheque, credit or debit, and Eftpos. Part payments and a card surcharge are supported.
Can I give invoices and reports to my bookkeeper?
Yes. Invoices, vendor statements and reports are PDFs, so you can print them, save them or pass them on.
Can I email invoices?
Yes, as a PDF attachment, one at a time or in bulk. Emailing uses the internet, so send from the office.
What do vendors get?
A vendor statement PDF with gross proceeds, commission, expenses and nett proceeds, and an optional cover letter.

Sales and lots

What kinds of sale is it for?
Live, in-person sales: clearing sales first, and sales of livestock, machinery, vehicles and equipment. Lots hold a description, quantity and price, so livestock tags and PIC numbers are not separate fields.
How do bidders take part?
In person, with the auctioneer. Clerks record the result and the bidder number on a phone or tablet, so bidders do not need a login.
How do lots get into SoldTo?
Enter them in the back office before the sale, or on a phone or tablet at the sale. Bulk changes switch GST, commission or buyer’s premium across many lots at once.
What can I print?
Invoices print to a network printer, one to four copies. The run sheet and reports open or download as PDFs.
